Set up AI replies

Updated October 28, 2026

  1. Open App settings > AI > Getting started. Until it is finished, “Set up AI replies” also leads there, from the banner above the App’s inbox and from the end of Developers > Getting started. The Owner, Admins and Agents allowed to manage the library can use it. Each step ticks itself, and the open step stays open when you leave and come back.
  2. “Teach the AI”: with nothing to press, the AI reads the conversations a Member answered in the last 12 months, up to 500, and suggests answers. Your Saved replies become Knowledge on their own, except those with a variable, such as the Contact’s first name. Its progress shows live. It is free: no AI reply is used.
  3. Review the suggestions, most asked questions first: “Approve”, “Edit” or “Dismiss”, or “Approve all”. A suggestion that clashes with Knowledge is merged from “Edit”. “Add an answer” writes a Knowledge entry by hand. The step ticks itself with at least one Knowledge entry and nothing left to review, unless reading is under way.
  4. “Pick the Tone and turn on AI drafts”: the Owner or an Admin picks the Tone, then “Turn on AI drafts”, at any time. The AI drafts only what your Knowledge covers and hands the rest to your team. The App moves to Draft and Getting started is done.
  5. “Switch to Automatic mode”, optional and not counted: it shows how many reviewed drafts were sent nearly as written. Once the mode is unlocked, the Owner or an Admin chooses “Turn on Automatic mode”.

After that, the AI keeps learning from each conversation once it is resolved, by a Member or on its own, or has had no message for 7 days, whatever the AI mode. It never brings back a suggestion you dismissed. Past 200 pending suggestions, it suggests no new ones: review some first. If reading pauses, because the platform limit is reached or AI is unavailable, it resumes on its own: nothing is lost.

When the month’s AI replies are all used, the AI drafts step offers the next Plan and AI packs. See Your Plan’s AI replies and AI packs.
